# How To: Add a Company and Navigate the Company Record in HubSpot

## This article walks you through adding a new company to HubSpot and finding your way around a company record. It covers creating a company, what each part of the record shows, the everyday actions you'll take from it, and fixes for common issues.

**Add a company**

Path: **CRM \> Companies \> Add company \> Create new**. Before you start, search the Companies list for the company's name or website to make sure it isn't already in HubSpot.

1. In HubSpot, go to **CRM \> Companies**. If you don't see CRM in the main navigation, click **More** first.
2. In the upper right, click **Add company**, then select **Create new**.
3. Enter the **Company domain name** first (for example, acme.com, with no https:// or www). HubSpot uses it to catch duplicates and to link contacts with matching email addresses automatically.
4. Enter the **Company name**.
5. Set **Company owner** to yourself if this is your account.
6. Select the **Company State/Province**. This field is required.
7. Paste the company's **LinkedIn company page** URL if you have it.
8. In the **Associate company with** section, search for and select any existing contacts or deals that belong to this company.
9. Click **Create**. To save and add another, click **Create and add another**.

Find the new company in the Companies list and click its name to open the record.

**Other ways companies get created:** HubSpot can create a company automatically from a contact's work email domain, and companies can also come in through imports. Always search before adding one by hand.

**Navigate the company record**

Every company record has three areas: a left sidebar, a middle column and a right sidebar. Open any company from **CRM \> Companies** by clicking its name.

| Area | What you'll find | What you'll use it for |
| --- | --- | --- |
| **Left sidebar** | Company name, domain and owner at the top; quick-action icons (email, call, note, task, meeting); Slide's custom company cards below | Company details at a glance, quick actions, editing properties |
| **Middle column** | **Overview** tab (opens first: summary, key properties, associations) and **Activities** tab (timeline of emails, calls, meetings, notes and tasks) | The full history of your team's conversations with everyone at this company |
| **Right sidebar** | Cards for associated **Contacts**, **Deals** and **Tickets**, plus **Attachments** | Seeing who works there, jumping to open deals, and adding associations |

**Why the company timeline matters:** activities logged on any associated contact also show on the company's Activities tab. That gives you one place to see every touchpoint across the whole account, not just one person.

**Handy left-sidebar tricks:**

- Hover over any property and click the **pencil icon** to edit it in place.
- Click **Actions \> View all properties** to see every field on the company, including empty ones.
- Click **Actions \> View property history** to see who changed a value and when.

**Filtering the Activities tab:** use the tabs or filters at the top of the timeline to show only emails, calls, meetings, notes or tasks.

**Slide custom cards:** every company record has these cards in the left sidebar.

| Card | Fields |
| --- | --- |
| **About this company** | Notes, Website URL, Company owner, Account Executive, Account Manager, Console ID, Lifecycle Stage, Close Date, Currency Code, Phone Number, Street Address, City, Company State/Province, Company European State |
| **Fleet Info** | Fleet Tracking Note, Devices in Fleet, Current Ramp Stage, Fleet Sheet Link |
| **Tech Stack** | PSA, RMM, EDR, BCDR, Tech Stack Notes |
| **Demo Details** | Demo Booked Date, Demo Scheduled Date, Demo Delivered Date, Demo Call Notes/New Meeting Notes, workload types, backup solutions in use, number of BCDR appliances |
| **Onboarding Details** | Onboarding Booked Date, Onboarding Scheduled Date, Onboarding Delivered Date, Onboarding Kickoff Notes |

**What you need to fill in:**

- **Fleet Info** and **Tech Stack:** required. Reps must collect and enter every field on these two cards.
- **Demo Details:** Demo Booked Date, Demo Scheduled Date and the demo questions fill in automatically. Reps must fill in **Demo Delivered Date** and **Demo Call Notes/New Meeting Notes**.
- **Onboarding Details:** Onboarding Booked Date and Onboarding Scheduled Date fill in automatically. Reps must fill in **Onboarding Delivered Date** and **Onboarding Kickoff Notes**.

**Everyday actions from a company**

| To do this | Go here |
| --- | --- |
| Email someone at the company | Left sidebar **email icon**, then choose the contact. Sends from your connected Gmail and logs to the timeline. |
| Log a call, meeting or email you had outside HubSpot | Middle column **Activities** tab \> **Log** (or the matching tab), then fill in the details. |
| Add a note | Left sidebar **note icon**. |
| Create a follow-up task | Left sidebar **task icon**. Set a due date and it appears in your task queue. |
| Book a meeting | Left sidebar **meeting icon**. Uses your connected Google Calendar. |
| Add a contact to the company | Right sidebar **Contacts** card \> **Add**, then search for an existing contact or create a new one. |
| Link to a deal | Right sidebar **Deals** card \> **Add**, then pick an existing deal or create a new one. |

Tip: keep every contact and open deal associated with their company. That way the company record shows the full picture of the account.

**Troubleshooting**

| Problem | What to do |
| --- | --- |
| HubSpot says a company with that domain already exists | Open the existing record instead of creating a new one. If it belongs to another rep, check with your manager before changing the owner. |
| Two records for the same company | Don't keep working in both. Ask your HubSpot admin to merge them. |
| Contacts aren't linking to the company | Check the **Company domain name** matches the contacts' email domain exactly (no https:// or www). Otherwise add them by hand from the right sidebar Contacts card. |
| Can't edit other fields when creating | Enter the company name or domain first; the other fields unlock after that. |
| Activities missing from the timeline | Make sure the contacts involved are associated with the company, and clear any timeline filters. |
| Can't see or edit a company | You may not have access to records owned by other teams. Ask your HubSpot admin. |
