# Commission Approval Process

This guide walks the sales team through HubSpot's Commission Approval feature — a self-service workflow that lets a rep flag a deal for a commission exception (e.g., a split, credit to another rep, or non-standard payee) and route it to a manager for review.

#### **Overview: The 3-Stage Process**

Stage 1 — Request: A rep marks the deal as needing commission approval and fills in who is requesting it, who should get credit/payout, and why

Stage 2 — Approval: A manager reviews the request on the auto-generated Commission Request card and sets a Commission Approval Status: Approved, Rejected, or Needs More Info.

Stage 3 — Resolution: The status change is saved and timestamped as the record of decision. If Rejected or sent back for more info, the approver must leave comments explaining why.

 

**Stage 1: Submitting a Commission Approval Request**

*Do this on the deal record where a commission exception needs sign-off*

STEP 1 - Open the About Deal card and set Request Commission Approval to Yes

On the deal record, find the About Deal card in the left-hand panel. Locate the *Request Commission Approval* property and change it from the default to Yes.

STEP 2 - Fill in Commission Approval Requester and Additional Quota Attainment Credit

A new set of Dependent properties appears. Set Commission Approval Requester to the rep submitting the request, then set Additional Quota Attainment Credit to anyone else who should receive quota credit on this deal.

STEP 3 - Fill in Commission Payee

Set Commission Payee to the person who should actually receive the commission payout for this deal. Start typing a name to search the owner list.

STEP 4 - Enter an Exception Reason/Notes

Fill in the Exception Reason/Notes field with a short explanation for why this commission exception is needed (e.g., “Split deal with SDR,” “Territory overlap,” “Manager-approved override”). This field is required and is visible to the approver.

STEP 5 - Confirm your changes saved

HubSpot saves each property automatically as you fill it in — watch for the green confirmation toast at the bottom of the screen (e.g., “3 changes saved”). No separate Submit button is required.

 

**Stage 2: The Commission Request Record**

Once the fields above are saved, HubSpot automatically creates a Commission Request card on the deal record (it appears just below About Deal) and sends a Slack notification to the approvers for review. This is the record an approver will use to review and action the request.

STEP 6 - Locate the Commission Request card

Scroll down on the deal record to find the new Commission Request card. It mirrors the information submitted in Stage 1 and adds one new field: Commission Approval Status, which defaults to Pending Approval.

STEP 7 - Approver sets the Commission Approval Status

The approver (manager or deal owner's manager) opens the Commission Approval Status dropdown and chooses one of three options:

\- Approved — the commission exception is authorized as submitted.  
\- Rejected — the exception is denied.  
\- Needs More Info — sent back to the requester for clarification.

STEP 8 - If Rejected or Needs More Info: comments/feedback will be left

Choosing Rejected or Needs More Info reveals a required Comments/Feedback field. The approver must explain the decision here so the requester knows what to fix or why the request was denied.

\*If Needs More Info is selected, the requester will need to re-submit the request by starting at Step 1

 

**Stage 3: Resolution**

STEP 9 - Status change is saved as the record of decision

Whatever status the approver selects is saved immediately, with a confirmation toast (e.g., “Commission Approval Status changes saved”). This becomes the timestamped record of the decision for finance/payroll reference. Also, a Slack notification will be sent to the requester with the updated information.
